Compliance Overview
When you send us your stale unclaimed property records in electronic format, we’ll review them and apply due diligence and dormancy tracking rules by property type and state to determine which records need to be escheated, when the records should be reported, and to what state(s) report(s) should be sent. During the term of our agreement, we’ll monitor the stale records that are not yet ready to report, applying the most current due diligence and dormancy tracking rules to them so they can be reported according to state regulations. From this work, we’ll provide management reports that calculate and forecast your unclaimed property liabilities.
Due Diligence Letters
We’ll print and mail your state-required due diligence letters to comply with state requirements. We’ll track and update your returned post office records and help you return property to reconnected owners. All printing, handling, and first-class postage is included. If a certified mailing is required, the cost between first class and certified will be surcharged.
Reporting
We’ll create the final unclaimed property reports for each state in which you have an unclaimed property obligation, in full accordance with the respective statutes. We’ll deliver them to you in a timely manner for your review and approval. And we’ll provide very clear and comprehensive delivery and payment instructions for each of the reports.
Record Retention
Each state has unique requirements for retaining records of your unclaimed property reports. Our service gives you the peace of mind that you’re complying properly. On your behalf, we retain a complete log file of all “who changed what and when” for each property record. We keep complete copies of your due diligence letter correspondence for audit documentation, along with an archive of each individual state report.
